Admin Calendar Overview - How to View and Manage your Organization’s Sessions

The admin calendar gives you a high-level view of your organization’s operations. The Calendar provides insight into all sessions booked on a monthly, weekly, and daily basis. Click on individual sessions to review or edit the details.

Prerequisites: Your organization’s account is set up | You have sessions booked on your calendar

Navigate to Calendar

From the admin dashboard, navigate to the Calendar.

The Calendar offers you a high-level view of your organization’s operations.

The search bar at the top of the page allows you to filter and view specific sessions that meet your desired criteria. The filters provide sorting based on the following information. 

  • Status (Scheduled, Completed, Missed, Cancelled, Pending Confirmation)
  • Program type
  • Instructor name
  • Student name

Use the various view options, located in the center of the calendar header, to shift between the monthly calendar view, weekly calendar view, weekly list view, or the daily calendar view.

To book a session, click the blue “Book Session” button. This is a direct link to the Session Booking page. Click here for more information about Booking Sessions.

 

From the month view of the calendar, you can expand the view on a particular day by clicking the “+ more” link.

To view and/or edit specific sessions, click on the desired session from any of the various calendar views. 

Session status

The status of a particular session is noted in the top right corner of the session’s details. Completed, Cancelled, Rescheduled, and Missed sessions are “view only”.
Added functionality to edit these types of sessions is coming soon!

Session details

From the calendar’s session details, there are links available to navigate to the specific session participants’ details pages. For all “Completed” sessions, you have links to the Post-Session details, included at the bottom of the session card.

“Scheduled” upcoming sessions can be edited from the calendar.
At the bottom of the session details card, you have links to “Cancel Session” or “Edit Session.”

Important Note: If a session has been started, then you will not be able to cancel or edit the session. If either participant clicks the “Join” button to enter the session, then the session can no longer be modified.

Cancel a session

Click “Cancel Session” to cancel a booked session. You will be prompted to confirm whether you want to cancel one session or an entire set of recurring sessions (if applicable).

Edit a Session

Click “Edit Session” to reschedule a session or modify specific session details. You can update the location (online or in-person), the start date, and the start time of an upcoming session.

If you are rescheduling a session, you can specify the reason for the reschedule in the optional field that is provided.

When a session is rescheduled, the platform will send a notification to all session participants communicating the update to their scheduled session. If they have a series of recurring sessions set on the calendar, you will be asked to specify whether or not the rescheduled date applies to one session or all sessions included in the series.
